You Go Media respects your privacy. This policy explains what personal information we collect through this website, why we collect it, how we use and protect it, and the choices you have. You Go Media is based in Winnipeg, Manitoba, Canada. We handle personal information in line with Canada’s federal privacy law, the Personal Information Protection and Electronic Documents Act (PIPEDA), and, for Quebec residents, Quebec’s private-sector privacy law as updated by Law 25.
1. What we collect
We collect the personal information you choose to send us through the forms on our contact page or by email, plus a few technical details that are saved automatically with each form entry.
- General inquiry form: your first name, email address, company (optional) and your message.
- Support ticket form: your first name, last name, email address, your website address, the type of request, its priority and a description of what you need. When we work on a ticket, we also keep a record of the time spent, because tickets are billed in 15-minute increments.
- Technical diagnostic form: your first name, last name, email address, company (optional), main website address, the CMS or technology your site runs on, which kinds of access you could give us (you tick boxes; we don’t ask for passwords in the form), the main problems you are seeing, your preferred next step and your message.
- Saved automatically with each form entry: with each form submission we also store the page it was sent from and your browser and device type. We do not store your IP address with form entries.
- Hidden fields: on all three forms, a hidden field stores a short code for the link that brought you to the form (for example, a button on one of our service pages), so your request reaches the right place. It records which link you used, not the pages you visited. On the General inquiry and Technical diagnostic forms, a second hidden field stores the Pay on Results option you picked, if you came from that page. Neither field asks you for anything, and both are included in the email copy of your form.
- Email: if you write to us directly, we receive your email address, your name if you include it, and whatever you put in your message.
Please don’t send passwords or other sensitive information through the forms or by email. If we need access details for a project, we will agree a safer way to share them with you.
2. Why we collect it
We use your information for one purpose: to reply to your request and to deliver the work or support you asked for. That includes answering questions, preparing a proposal or scope, handling support requests, billing for paid work (assessments, WordPress care and support tickets) and keeping a record of what was agreed. The technical details saved with each entry help us understand and fix problems with your request or with the forms.
We do not send marketing emails or newsletters.
3. Consent
When you send us a form or an email, you agree that we can use the information you provide for the purpose described above. We will ask for your consent again before using your information for any other purpose.
4. How we use and share your information
- Form entries are stored in our WordPress database by Fluent Forms, a WordPress form plugin. Our website is hosted by WP Engine and runs behind Cloudflare, which protects the site from harmful bot traffic.
- Every form on our website emails a copy of what you send to support@yougomedia.com. Notification emails go through WordPress’s standard mail on our hosting provider (WP Engine); no third-party email service is used.
- Our mailbox is provided by GoDaddy, which holds the emails we send and receive. We reply from support@yougomedia.com.
- We send invoices monthly by email. We do not use a third-party payment provider.
- Google provides our spam protection (reCAPTCHA, see section 5).
- We do not sell your personal information, and we do not share it outside the tools we use to run this website, to reply to you and to bill for our work.
- Some of our service providers may process data outside Canada, including in the United States.
We may disclose information if the law requires us to.
5. Spam protection with Google reCAPTCHA
To keep spam out of our forms, Google reCAPTCHA v3 runs on the forms on our contact page. It checks whether a form is being sent by a person or an automated program. To do this, it sends information from your browser and device to Google, such as your IP address and how you interact with the page. Google processes its own signals under its own Privacy Policy and Terms of Service.
This site is protected by reCAPTCHA and the Google Privacy Policy (https://policies.google.com/privacy) and Terms of Service (https://policies.google.com/terms) apply.
6. Cookies and similar technologies
We use a small number of cookies. Strictly necessary cookies are always on.
Strictly necessary
- Security: Cloudflare, our security provider, sets a cookie called __cf_bm to tell people apart from automated bots. It does not identify you personally, and it expires after 30 minutes of inactivity. If Cloudflare shows a security check, it may also set a cookie called cf_clearance to remember that you passed it. It lasts for a limited period set by Cloudflare (30 minutes by default).
- Spam protection: Google reCAPTCHA v3 on our contact forms may set a cookie called _GRECAPTCHA. That cookie is Google’s: it lasts up to 6 months and Google uses it for spam and abuse risk analysis under its own policies.
No analytics or advertising: we do not currently use analytics, advertising or remarketing cookies or tags.
You can block or delete cookies in your browser settings, but parts of the site, including the forms, may not work properly if you do.
7. How long we keep it
We keep records of inquiries, support requests, invoices, ticket time records and related emails for 7 years. After that, we delete them.
8. How we protect it
We use reasonable safeguards to protect your information from loss, misuse and unauthorized access. Information sent through this website travels over an encrypted connection (HTTPS), and access to the website’s admin area and our mailboxes is password protected [CONFIRM: James]. No website or email system can be guaranteed to be completely secure, so please avoid sending sensitive information through the forms.
9. Access and correction
You can ask to see the personal information we hold about you, and ask us to correct anything that is wrong. Email support@yougomedia.com with your request. We may need to confirm your identity before we act on it. We will respond within 30 days.
10. Withdrawing consent
You can withdraw your consent at any time by emailing support@yougomedia.com. If you withdraw consent, we may not be able to answer your request or continue the work you asked for. We may still need to keep some records where the law requires it.
11. Contact us
For any question or concern about your privacy or this policy, email support@yougomedia.com.
If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada (https://www.priv.gc.ca).
12. Changes to this policy
We may update this policy when our website, tools or services change. We will post the updated version on this page with a new date.
